Work Orders / Asset Reports - General
Work Orders is a process to manage your infrastructure maintenance needs, assign staff to complete repairs and track labor and material costs.
Each asset that has work order functinality is found in the Asset Management > Asset Reports sub-menus. The Asset Reports pages contain tabs for Assets, Inspections, Repairs Needed and Repairs Made when appropriate. Other tabs are provided for certain asset types. Filters at the top of each tab allow you to display only items that meet your filter criteria. Buttons at the bottom of each list allow you to save the displayed list to an Excel Workbook. In essence, the ASset Reports pages provide access to all asset management functionality without going into the GIS map.
Assets
The first tab in the reports pages will be a list of all the assets of that type with various filters to refine the list. Each asset has a Details button that will open the asset management form with all the available functions for that asset.
Inspections
The Inspections tab has From and To Inspection Date filters. The Date filters are pre-set to January 1st of the current year and the greatest Inspection Date found in the inspections list. Click into a date field to enter a different date or choose a date in the celendar that pops up, then click out of the date field to update the list.
Repairs Needed
The Repairs Needed tab has select lists for Repair, Work Order Number, Assigned To and From and To Due Date filters. The Date filters are pre-set to January 1st of the current year and the greatest Due Date found in the repairs list. Click into a date field to enter a different date or choose a date in the celendar that pops up, then click out of the date field to update the list. Repairs without a Due Date will always be included in the list regardless of the date filter values.
To assign repairs to a staff member, check the box in the left-most column of the repair(s). Then at the bottom of the list, include a work order number if desired, choose a staff member from the select list and assign a due date, then click Assign Staff.
Repair Activity
The Repair Activity tab has filters for From and To Date Repaired and a select list for Work Order Number. The Date filters are pre-set to January 1st and December 31st of the current year. Click into a date field to enter a different date or choose a date in the celendar that pops up, then click out of the date field to update the list.
All Repairs
The All Repairs page is found in Asset Management > Utilities > All Repairs.
The All Repairs list should be the the first place a staff member visits to see what is assigned to him/her.
